Having only one date to lock the accounting entries can be restrictive, especially towards the end of the fiscal year.

Cluedoo introduces the flexibility to lock accounting periods based on timeframes, such as each month. This feature also allows for different levels of access rights, including accountant, adviser, and, with additional options, employee access for timesheet and expense functionalities.

This module enables the differentiation between accounting period lock and HR period lock, offering distinct levels of access rights for each.

BUSINESS CASE

If your fiscal year concludes on 31/12, it's likely that you'll continue working on it until the next April to prepare for the audit. However, you'll need to close the current year (January, February, March) by the 10th of each subsequent month to ensure that daily records are accurately finalized.

HOW TO USE THIS MODULE

Required modules:

Set Period Locks for Expenses and Timesheets

Go to Accounting → Periods Lock. We can set Lock Gap Days for Employee and Manager on Expenses and Timesheets. In this example, we set:
- Lock Gap Days Employee: 2
- Lock Gap Days Manager: 10

Create a monthly period. Now we have the list of periods for every month.

Let's consider today's date as 02/08/2021. If we check the employee locking date for January 2021, it would be 02/02/2021 (calculated as End of Period + Employee Lock Gap Days).

An employee fails to create an expense for 01/25/2021 and receives a system warning as seen in the photo.

Why?

It's because the Employee Locking Date is 02/02/2021 and today is 02/08/2021.
